How to Update Email and Notification Settings for Appointments
I. Introduction
Purpose: Discuss how to update email and notification settings for contacts scheduling appointments on your calendar.
II. Accessing Calendar Settings
Navigate to the Calendar section.
Select "Add Calendar" or "Edit Settings."
Note: If using a calendar created before January 31, 2025, settings may require manual updates.
III. Editing Calendar Settings
Select an old calendar (last updated a few months ago).
Click on the three dots and choose "Edit."
Navigate to "Notifications and Additional Option Settings."
This feature allows for easier notification management.
IV. Configuring Notifications
Enable Notifications:
Options include:
Appointment booked (unconfirmed)
Confirmed appointments
Cancellations
Reschedules
Reminders
For each option, click to enable email and in-app notifications.
Customize Email Content:
Click on the email option to customize text, "From Name," and "From Address."
Repeat for each notification type and hit "Save."
V. Setting Reminder Notifications
Choose whether to receive reminder emails.
Select options for both the contact and the guest.
Add additional notifications (e.g., one hour and one day before the appointment).
Ensure to save changes.
VI. Managing Duplicate Notifications
Disable additional email notifications from Google Calendar or Outlook Calendar to prevent multiple emails.
If using an older platform version (pre-January 31, 2025):
Disable old automations in the Email Templates section.
Click on the three dots next to the workflow and select "Draft" to turn it off.
VII. Deleting Duplicate Workflows
Identify and delete duplicate workflows to avoid sending multiple emails.
Click on the three dots and choose "Delete Workflow," then confirm.
Regularly check for duplicates (recommended monthly).
