| Item What it is What it is not |
Email Template | A reusable design/layout—your brand colours, header, footer, placeholders for copy and images. Think of it as the blueprint you start from every time. | It does not send; it just sits in your library until you use it. |
Email Campaign | The actual email you customise, address, schedule, and deliver to contacts. Built on top of a template, then tracked for opens, clicks, and bounces. | It is not meant to be reused as-is for future sends (though you can clone one). |
Create or edit an Email Template to lock in brand styling and merge-field placeholders.
Start a new Email Campaign, select that template, drop in this send’s copy/images, pick recipients, and send or schedule.
Review statistics (opens, clicks, bounces) after delivery to refine your next campaign.

Typical cadence | Update quarterly or when branding changes | Create for every newsletter, promo, nurture email |
Use a Template when | Use a Campaign when… |
You’re establishing visual brand standards | You need a fresh send to real contacts |
You want teammates to follow a consistent layout | You’re ready to target a list or tag |
You need a master file for future newsletters, promos, or system emails | You have time-sensitive content (e.g., holiday offer, rate change notice) |
Design once, reuse often
Build a master “Newsletter” template, a “Promo” template, and a “Plain Text” template.
Add them to the Template Library for quick access.
Clone campaigns, not templates, for variants
If you’re running quarterly promos, clone last quarter’s campaign, tweak copy, schedule.
Keep templates lean
Use merge fields for dynamic items (e.g., {{contact.first_name}}) so one template fits many campaigns.
Test before launch
Preview or send a test to yourself from either the template editor or campaign builder.
Read the numbers
After each send, check Campaign Statistics; adjust subject lines and content based on performance.
Q: Can I send a Template directly?
No. A template must be pulled into a Campaign before it can be delivered.
Q: What happens if I edit a Template after scheduling a Campaign that uses it?
The scheduled campaign keeps the version it was created with; edits apply only to campaigns you build after the change.
Q: Can I track performance at the template level?
Performance data (opens, clicks, etc.) is stored against the Campaign, not the Template. Use analytics in the Campaigns tab.
Need to design or update a layout? → Template
Need to send something to contacts? → Campaign (built from a template)
Email Templates are your reusable blueprints—no recipients, no stats, just design.
Email Campaigns are the customised, scheduled sends that ride on those templates and collect engagement data.
Use each where it excels and your notary-client communication will stay professional, consistent, and measurable.
